Customer Communications


Overview: The Customer Communications Center allows the user to view Customer Accounts in various groupings to determine account standings. It allows a convenient way to view accounts, deactivate, email and export lists.



Customer Communications Introduction


Customer accounts are an intricate part of Coffee Shop Manager and your business. Customer accounts can be used to track sales by individuals or groups (Membership Groups). Reviewing Customer accounts can help you understand who your customers are, where they are traveling from and what products they purchase. These accounts can also hold an available balance (Prepaid) or an owed balance (AR). It is important to track what monies are owed to the customer and what monies are owed to you.


Make Inactive – This allows the selected account to be deactivated.

Send Emails – This allows an email to be composed and sent to the selected account(s).

Export Customers – This allows a list of the selected accounts to be saved as a file.

Refresh Selection – Select this to view customers with the specified sorting options selected.

Matching Customers – This field shows how many Customer accounts meet the sort criteria.

All Customers – Select this to view all types of Customer accounts.

AR Only – Select this to view only the Customer accounts set as an AR type.

Non AR – Select this to view Customer accounts not marked as an AR type.

Employee Accounts – Select this to view Customer accounts marked as an Employee account.

VIP Customers – Select this to view Customer accounts that meet the preset qualifications of a VIP Customer.

Customers in a certain city or Zip Code – Select this to view Customer accounts with a specific Zip Code or City listed in the address section of their account in Customer Maintenance. Enter in the Zip Code or City in the fields that appear when this option is selected.

Customers with Purchases in a Date Range – Select this to view Customer accounts with purchases made in a specific date range. Select the date range in the Purchase Date Begin/End fields.

Customer with no purchases in date range - Select this to view Customer accounts with no purchases made in a specific date range. Select the date range in the No Purchase Recently Begin/End Date fields.

Customers with a balance – Select this and enter in the available balance range in the fields to view Customer accounts with specific balances.

Customer with Birthdays in a range – Select this to view Customer accounts with specific birthday dates listed in the Birthday section of their account in Customer Maintenance. Select the date range in the Birthday Beginning/Ending Date fields.

Customers with a Free Drink Available – Select this to view Customer accounts with a Free Drink available in their account.

Customers that need (1) more punches for free – Select this and enter punches to view Customer accounts with that number of drink punches. This allows you to see how close customer’s are to receiving a free drink.

Customers created in date range – Select this to view Customer accounts that were created within a specific date range. Select the range in the Date Created Begin/End Date fields.

Customers in a Membership Group – Select this to view Customer accounts assigned to a specific Membership Group. Select the group from the Membership Type drop-down list.

Customers who purchased selected item classes – Select this to view Customer accounts where specific item groups (Classes) have been purchased. Select the class from the Item Class drop-down list.

Customers with Purchases in an Amount Range – Select this to view Customer accounts with purchases within a specific monetary range. Enter the monetary range in the Purchase Amount From/To fields.

Complete Mailing Address – Select this to view Customer accounts that have a complete mailing address.

Complete Email Address – Select this to view Customer accounts that have a complete email address.

Complete Phone Number – Select this to view Customer accounts that have a complete phone number.


Customer Communications Instructions

Below is an example of how to view a group of Customer accounts with a current available balance for the dollar range of $25.00 - $1000.00.




On the main page of Coffee Shop Manager, select Customers | Customer Communication Center:.
  • Select All Customers.
  • Select Customers with a balance and enter 25 in the first field and 100 in the second field. 
  • Select Refresh Selection.
  • Customer accounts with the above criteria will appear in the box in the lower, left-hand corner. 
  • Use the scroll bars to see the accounts information. 
  • Select Export Customers to save the information as a file or document.
