This section of reports shows transactional activity.


Register - Z Report Reprint


A ‘Z’ is a report that originates with manual cash registers. This report is the report that represents all of the totals for the drawer, or in CSM, the Shift.

The purpose of the Z report is twofold. The top portion of the Z report is used to reconcile the amount of cash in the drawer at the end of the shift. It is necessary to prepare the daily deposit and verify credit card charges. The bottom portion of the Z report is used to track daily sales, sales tax collected, and the activity on prepaid accounts. This portion of the Z report explains why you have the amount of cash, checks and charges on the top portion of the Z report. The bottom portion of the Z report is the information that is exported to QuickBooks, if you are using the link. The very bottom of the Z report below the line, is only applicable only if you are using the feature for accounts receivable invoicing.

This report may be reprinted for any Z number or the current Z as you close your shift. To print a Z Report when closing your drawer see Shift. To print a Z report from the Reports screen select Z Report Reprint, choose the appropriate search criteria and select Print Report.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • ZNumber – Each shift is given a consecutive Z Number to identify it within the system. The date and Login ID is also included for additional reference.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Master Z Report


The only difference from the Z report reprint is the option to select multiple Z reports. Below is a detailed description for each line of a Z and Master Z report. This is also the report you will use to create an IIF file that is required for QuickBooks. Select the Export to IIF option to save report as the required QuickBooks format.

Search Criteria – Search Options
  • Z number – Each shift is given a consecutive Z Number to identify it within the system. The date and Login ID is also included for additional reference.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Register - Voided Orders


This report allows you to monitor the number of voids done during your specified search parameters. This can be used to monitor multiple registers, employees, and dates. We recommend running this report on a weekly basis to monitor trends that may exist. The time, date and employee information in this report is simple criteria to help you determine any issues that exist.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Time – Enter in the time to start the report view.
  • Ending Time – Enter in the time to end the report view.
  • Beginning Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the first Z number of the range you wish to view.
  • Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

  Filters:
  • Register – View all voids based on which register was used. 
  • Show All Sales – This shows taxable and non–taxable sales. 
  • Show Taxable Sales Only – View only taxable sales.
  • Show Non–taxable Sales Only – View only non–taxable sales.
  • Employee – The report defaults to show all employees or users. Select a specific employee in this drop-down list. 
After customizing your report select Print Report to view your report on–screen.

Report Information

Ticket Line Number – Each sale is assigned a consecutive ticket number in the system. This ticket number is also printed on the upper left of every receipt.

Customer ID – This number represents the customer ID on file for each customer. If you are using plastic cards, this number will be reflected on the back of the card.

Order Date / Time – This column represents the date and time the item was purchased.

Void Date/Time – This date represents the date and time the item was voided.

Qty – This field tracks the number of items that were voided.

Extended Price – This represents the price of the item times the quantity voided.

Discount Applied – If a discount was used at the time of purchase, this field will reflect that discount amount.

Tax – Amount of tax for total items voided.

Void Item – This is the Inventory item that was voided.

Employee ID – This is the user ID of the person who voided the item.

Register - Paid In/Out


This report allows you to view all pay–outs and pay–ins for the time frame selected.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Time – Enter in the time to start the report view.
  • Ending Time – Enter in the time to end the report view.
Filters:
  • Employee – The report defaults to show all employees or users. Select a specific employee in this drop-down list. 
After customizing your report select Preview Report to view your report on–screen.

Report Information

Date – Date of the Paid Out/Paid In.

Z Number – Each shift is given a consecutive Z Number to identify it within the system. The date and Employee ID is also included for additional reference.

Reason – Reflects the reason entered by the employee at the time of the Paid Out/Paid In.

Amount – Dollar amount removed or added to the drawer.

Account – This shows what account name was selected for this transaction.

Employee ID / Name – This is the Employee ID of the person who did the Paid Out/Paid In.


Register - Prepaid Received


This report allows you to view all of the transactions where money was put onto customer accounts. These are not classified as sales, they are liabilities and are not taxed. The money is taxed and counts as sales when it is used to purchase something.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Time – Enter in the time to start the report view.
  • Ending Time – Enter in the time to end the report view.
  • Beginning Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the first Z number of the range you wish to view.
  • Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Filters:
  • Sort By – This report can be sorted by Card Number or by Z Number. 
  • Employee – This report defaults to show all employee or user activity. Select an employee from the drop-down list to view the specific user’s activity.
  • Customer ID – This report defaults to show all Customer activity. Select a Customer ID from the drop-down list to view the activity of a specific customer account. 
After customizing your report select Preview Report to view your report on–screen.

Report Information

Reference Number - This is the internal number associated with the transaction.

Date Received – Date money was received onto customer account.

Ticket Number – Each sale is assigned a consecutive ticket number in the system. This ticket number is also printed on the upper left of every receipt.

Customer ID – This is the ID associated with the Customer account.

Card Number – This is the Card number associated with the Customer account.

Customer Name – Name recorded on customer account.

Emp ID – The Login ID of the employee logged into CSM.

Extra Credit – Amount of any additional credit put on Customer account.

Amount Received – Total amount received onto Customer account.


Register - Prepaid Redeemed


This report allows you to view all the transactions that were purchased using a Customer account.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Time – Enter in the time to start the report view.
  • Ending Time – Enter in the time to end the report view.
  • Beginning Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the first Z number of the range you wish to view.
  • Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Filters:
  • Sort By – This report can be sorted by Card Number or by Z Number. 
  • Employee – This report defaults to show all employee or user activity. Select an employee from the drop-down list to view the specific user’s activity.
  • Customer ID – This report defaults to show all Customer activity. Select a Customer ID from the drop-down list to view the activity of a specific Customer account. 
After customizing your report select Preview Report to view your report on–screen.

Report Information

Card # - This is the card number associated with the customer account.

Ticket Number – Each sale is assigned a consecutive ticket number in the system. This ticket number is also printed on the upper left of every receipt.

Date Charged – Date purchase was made using a customer account.

Item Details – Item description as it appears in Inventory.

Emp ID # – The Login ID of the employee logged into CSM.


Register - No Sale Report



This report lists every time the drawer was opened with a sale.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Time – Enter in the time to start the report view.
  • Ending Time – Enter in the time to end the report view.
  • Beginning Z – Each shift is given a consecutive Z Number to identify it within the system. The date and Employee ID is also included for additional reference. Select the first Z Number of the range you wish to view.
  • Ending Z – Each shift is given a consecutive Z Number to identify it within the system. The date and Employee ID is also included for additional reference. Select the last Z Number of the range you wish to view.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Filters:
  • Employee - This report defaults to show all employee or user activity. Select an employee from the drop-down list to view the specific user’s activity.
After customizing your report select Preview Report to view your report on–screen.

Report Information

Date / Time – Date and time the drawer was opened.

Drawer ID – The ID number of the cash drawer opened.

Z Number – Each shift is given a consecutive Z Number to identify it within the system. The date and Employee ID is also included for additional reference.

Reason – Reason entered by employee at time of No Sale.

Employee ID / Name – Employee ID of person responsible for No Sale.


Register - Returns


This report allows you to monitor the number of returns done during your specified search parameters. This can be used to monitor multiple registers, employees, and dates. We recommend running this report on a weekly basis to monitor trends that may exist. The time, date and employee information in this report is simple criteria to help you determine any issues that exist.

Search Criteria – Search Options

Beginning Date – Select the first day of the date range you wish to view.
Ending Date – Select the last day of the date range you wish to view.
Beginning Time – Enter in the time to start the report view.
Ending Time – Enter in the time to end the report view.
Beginning Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the first Z number of the range you wish to view.
Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.

To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Report Information

This report is not currently available in CSM.



Register - Cancel Order


This report allows you to monitor the number of transactions cancelled done during your specified search parameters. This can be used to monitor multiple registers, employees, and dates.   • Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.

Report Information

Cancel Number – Each cancelled sale is assigned a Cancel Number for reference.

Reason Code – This is the ID associated with the cancel reason selected.

Description – This is the description of the reason selected or entered at the time of the Cancel.

Cancel Date – This column represents the date the order was cancelled.

Employee ID – This is the Login ID of the person who cancelled the sale.

Z Number – This is the shift number the cancel occurred on.

Order Value – This shows the order total of the cancelled sale.


Register - Cup count


This report allows you to track cup usage of drinks that are currently on your Espresso Builder. To begin tracking cups you will go to Inventory Maintenance. We have already entered cup sizes 1 through 5. Simply find these cup sizes, select Edit, and ensure that Stock Item is checked. The report will then count cups based on any drink purchased from the Espresso Builder.

Search Criteria – Search Options
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the first Z number of the range you wish to view.
  • Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.
To choose a Z Number from the grid options, select ‘Use selection grid’ then select a Z Number.

Filters:
  • Combine To Go / Here – Select this to combine the totals of the transactions completed To Go and For Here. 
  • Employee – This report defaults to show all employee or user activity. Select an employee from the drop-down list to view the specific user’s activity.
After customizing your report select Preview Report to view your report on–screen.

Report Information

Size – This is the name of the Size used.

Cups Used – Number of cups used for each size.


Register - Credit Card Summary


This shows you a list of each credit card transaction with their totals as well as the totals for the time frame selected.

Search Criteria – Search Options.
  • Beginning Date – Select the first day of the date range you wish to view. 
  • Ending Date – Select the last day of the date range you wish to view. 
  • Beginning Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the first Z number of the range you wish to view.
  • Ending Z – Each shift is given a consecutive Z number to identify it within the system. The date and Login ID is also included for additional reference. Enter the last Z number of the range you wish to view.

Report Information

Pmnt # - This is the internal number associated with the transaction.

Order Total – Total amount of item times the quantity purchased.

Credit Amount – Amount charged to the credit card for the purchase.

Tip Amount – Amount charged to the credit card for the tip.

Card Type – Shows card type such as Visa or MasterCard.

Auth. Code – This is the code given by the processor when the amount is authorized.

Tip – The tip added to the charge.

Visa Ticket # – Each credit card transaction is given its own consecutive number. This number is only relevant to the software, and will only be referenced by tech support if needed.

Z Number – Each shift is given a consecutive Z Number to identify it within the system. The date and Employee ID is also included for additional reference.

Order Date – Date credit card was used for purchase.

Emp ID – Employee ID of person who performed credit card transaction.
